Duties, Responsibilities and Accountabilities
- Serve as administrative assistant to the principal.
- Perform general keyboarding and correspondence needs of the school, principal, counselor, and/or other personnel as approved by the principal including letters, programs, and memorandums.
- Maintain all school records including student records, payroll records, staff purchases, etc.
- Answer telephones and greet school visitors maintaining control over public access while school is in session.
- Prepare and maintain office bulletin boards.
- Assist school counselor in the registration and scheduling of new students.
- Assist school counselor in maintaining student records, processing transcript and/or student record requests.
- Issue student admit slips
- Maintain accurate attendance records and prepare necessary attendance reports
- Be responsible for labeling and organization of keys for the school.
- Open and distribute school mail daily.
- Coordinate the storing and distribution of school supplies
- Maintain general tidiness and order in school office
- Assist in taking care of injured students.
- Process other reports as requested by the principal and/or district office including student count days (enrollment) in October and end of year, newsletter reports, via Internet, email, scan, etc.
- Process all school orders as approved by the principal using YSD Standard Operating Procedures.
- Collect employee leave slips and process monthly and semi-monthly payroll to the District Office. Check for accuracy before submitting.
- Arrange transportation for staff and students when necessary.
- Enter new students in Powerschool ensuring accuracy.
- Attend trainings and in-services as requested.
- Other duties as assigned.
Qualifications:
- Demonstrated computer skills
- Current Alaska Driver’s License
- Proven Ability to work as directed with little or no supervision. Ability to work as a part of the team.
- Will be in good to excellent physical condition. Ability to lift 30 pounds unassisted.
- GED or High School Diploma
- 2 years of post secondary training preferred
- Good attendance record
- Strong interpersonal skills to help others
- Problem solving skills
- Must have a clear background check
Knowledge, Skills and Abilities
- Requires decision-making ability and the ability to work independently. Requires ability to plan, schedule, and prioritize work

- Requires extensive computer software proficiency including: Microsoft Office (Outlook, Excel, Word, PowerPoint, etc.), Adobe Professional and Acrobat Pro, Scanning, Internet access. Etc. Requires excellent writing, grammar and spelling skill.

- Requires interpersonal skills to courteously and effectively assist individuals on the telephone or in person and to maintain good relations. Requires personal presence and appearance to appropriately act as a representative of the Superintendent and Board of Education. Requires ability to communicate with a variety of people to gather information or to communicate information to others. Ability to resolve issues involving conflict.

Education and/or Experience: High School diploma or equivalent plus at least two years demonstrated successful experience in general office work. Business college or equivalent training may be substituted for experience on a year for year basis.
Language Skills: Ability to read and interpret documents such as software operating and training instructions, and technical procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before supervisors and district employees. Ability to speak Yupik preferred.
Mathematical Skills: Ability to calculate figures and amounts such as bank deposits and purchase requisitions.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Other Skills and Abilities: Ability to develop effective working relationships with the principal, staff, students, parents, and community. Ability to communicate clearly and concisely, both orally and in writing. Ability to work in a cross-cultural environment.

While performing this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand; walk; operate a computer; and reach with hands and arms. This position frequently requires non-stop typing on the computer. This position requires the individual to meet deadlines with severe time constraints and to interact with the public and other workers. The employee must occasionally lift and/or move up to 30 pounds, such as tables, office and meeting supplies. This position may occasionally require employee to work extended or irregular hours Specific vision abilities required by this job include close vision and depth perception. Some travel is required as part of the job.
